Make the action specific
A useful follow-up names what to review or record and when you intend to return. Owner labels can help you keep context, but in the individual pilot they do not invite a person, send a notification, or prove someone accepted the task.
Use the stage to describe progress
Planned, In progress, and Completed describe the status entered by the account holder. Pair the stage with an observation, next action, and clear due date. Software can surface overdue open tasks from those dates, but it cannot determine whether conditions make a field visit appropriate.
Finish with a useful record
Before marking the action Completed, add an outcome of at least 10 characters. Be specific about what was checked and what still needs attention. Export the journal when you need to share a snapshot; exports are files, not a live multi-user workspace.
